Depending on how you use our website and services, we process the following data:

Contact form

If you contact us via the contact form on our website, we ask for:

  • Name
  • Email address
  • Telephone number
  • Chamber of Commerce (KVK) number
  • The content of your message

Quote requests via our website

You can request a quote on our website using our quote tool. We use the information you submit to assess your request and provide you with a suitable quote. This includes:

  • Name
  • Company name and Chamber of Commerce number (where applicable)
  • Address details
  • Email address and telephone number
  • The details and specifications of your request

No payments are made through our quote tool, and no payment details are processed or stored.

Newsletter and emails

If you sign up for our newsletter or you are an existing customer, we use your email address to inform you about our products, offers or news. You can unsubscribe at any time using the unsubscribe link at the bottom of every email.

Photographs and video

From time to time we publish photographs or video on our website or social media, for example of products, events or staff. If you would prefer that a photograph or video of you is not published, please let us know and we will remove it as soon as possible.

Cookies and website statistics

Our website uses cookies. Cookies are small text files stored on your device when you visit our site. We use:

  • Functional cookies: necessary for the website to work properly (for example, for your shopping basket or login).
  • Analytical cookies: to track how visitors use the website, so we can improve it.

3. Why do we process your data?

We only process your data for the following purposes:

  • To prepare and provide a quote based on your request
  • To perform any agreement that arises from a quote
  • To send our newsletter or commercial emails (with your consent, or if you are an existing customer)
  • To monitor and improve our website
  • To comply with legal obligations, such as the retention requirements of the Dutch Tax Administration

4. On what basis do we process your data?

We process personal data on one of the following legal bases set out in the General Data Protection Regulation (GDPR):

  • Consent: for example, when you sign up for our newsletter or accept cookies.
  • Performance of a contract (or steps prior to entering into one): to handle your quote request and, if you accept, to perform the resulting agreement.
  • Legal obligation: for example, to retain invoices for 7 years.
  • Legitimate interests: for example, to inform existing customers about similar products or to improve our website.

5. Sharing with others

We do not share your data with third parties without good reason. We only share data where this is necessary for our services or where we are required to do so by law. We share data with:

  • Our hosting provider: Many More, based in Beek en Donk (the Netherlands), hosts our website. We have entered into a data processing agreement with Many More.

With parties that process your data on our behalf, we enter into a data processing agreement to ensure the same level of security and confidentiality.

Services outside the EU

For some services, for example our website or email marketing, we may engage parties that process data outside the European Union (such as Google or Meta). In those cases we ensure the transfer is based on Standard Contractual Clauses (SCCs) or another valid legal mechanism, so that your data remains protected.

6. Social media

Our website contains buttons or links to social media platforms such as Facebook, Instagram and LinkedIn. If you click such a button, you are directed to that platform’s website and the privacy terms of that platform apply. Please read those carefully, as we have no control over them.

7. How long do we keep your data?

We do not keep your data for longer than necessary. We apply the following retention periods:

  • Quote requests that do not lead to an assignment: up to 2 years after the last contact.
  • Customer data and invoices (where an assignment is awarded): 7 years (statutory retention requirement of the Dutch Tax Administration).
  • Marketing data: up to 2 years after the last contact.
  • Newsletter: for as long as you remain subscribed. After you unsubscribe we delete your data as soon as possible.
  • Contact form: for as long as needed to answer your question, and up to 2 years thereafter.
  • Functional cookies: until you close your browser, or up to 1 year.
  • Analytical cookies: up to 26 months.

8. Security

We take appropriate technical and organisational measures to protect your data against loss, unauthorised access or misuse. These include secure connections (SSL), access controls and regular updates. If you have any reason to believe something is not right, please contact us as soon as possible at info@craftpanel.shop.

9. Your rights

Under the GDPR you have a number of rights regarding your personal data:

  • Right of access: you may request which data we hold about you.
  • Right to rectification: you may ask us to correct inaccurate data.
  • Right to erasure: you may ask us to delete your data, where this is legally permitted.
  • Right to object: you may object to the processing of your data.
  • Right to restriction: you may ask us to temporarily restrict the processing.
  • Right to data portability: you may request your data in a commonly used format.
  • Right to withdraw consent: if you have given consent, you can withdraw it at any time.

You can submit a request by emailing info@craftpanel.shop. To make sure the request was made by you, we may ask you to confirm your identity. We will respond to your request within one month.

10. Submitting a complaint

If you have a complaint about how we handle your data, please contact us first so we can look into it together. If we cannot resolve it together, you have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) via autoriteitpersoonsgegevens.nl.

We may amend this privacy statement, for example if laws and regulations change or if we expand our services. The most up-to-date version is always available on our website. We recommend that you review this page from time to time.
